Regulations for Document Evaluation

Article 1

  • A document evaluation committee shall be formed in each government agency consisting of: -

    • A - The Director of the relevant administrative unit in the agency.

    • B - The Director of the Document Center in the agency.

    • C - A specialist in administrative organization in the agency.

    • D - A specialist in regulations in the agency.

  • The committee may seek the assistance of any specialists it deems necessary.

Article 2

The committees operate under the supervision of the Permanent Document Committee, chaired by the Deputy of the Authority.

Article 3

Each committee shall specify the names of the types of documents for which it is responsible for evaluation, the time period it estimates for each, and the duration during which the document is active or inactive.

Article 4

  • These names are placed in lists consisting of the following fields: -

    • A. Number.

    • B. Document Name.

    • C. Description.

    • D. Document Container Format.

    • E. Preservation Category.

    • F. General Storage Location.

    • G. Start of Preservation.

    • H. Preservation Duration and its Location in the System.

  • This is in accordance with Evaluation Form No. (1) and its instructions.

Article 5

Each committee shall carry out the necessary evaluation of the documents that fall within its scope of work, taking into account the provisions of Article (4) of the Preservation Regulation, as well as the laws, instructions, and contracts that define the financial, legal, and administrative obligations of state agencies.

Article 6

The calendar data is approved by the Permanent Committee for Documents and the Authority, represented by the Agent, after preparing a record from the Permanent Committee approving the calendar.

Article 7

The data and the server process are sent to the National Center for Archives and Records.

Article 8

The National Center for Archives and Records forms specialized committees to study this data in accordance with the Document and Archives System and its regulations, and to prepare lists of retention periods, locations, and commencement dates.

Article 9

The Management Authority of the National Center for Archives and Records issues qualitative lists regarding the retention periods, their locations, and their commencement after consulting with the relevant entity or entities.

Article 10

The documents that are not mentioned in the retention period lists shall be reported to the National Center for Documents and Archives to take the necessary actions to add them to these lists.
